Privacy Policy

Anatolian Accountancy Ltd ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect, why we collect it, how we use and protect it, and what rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Personal data we collect

Website visitors and enquiries. When you use the contact form on this site, we collect the information you submit: your name, email address, phone number, the topic you select, your business type, and any message you write. This is sent via our form provider, Web3Forms, directly to our business email. We do not store submissions in a separate database.

Clients. If you engage us for accountancy, tax or bookkeeping services, we collect further personal and financial data necessary to provide those services, which may include: your name, date of birth, National Insurance number, Unique Taxpayer Reference, contact and address details, bank details, income, expenses, payroll and pension information, business records, and correspondence with HMRC, Companies House or other relevant bodies. This data is typically provided directly by you, or by a previous accountant when you switch to us with your authorisation.

How we collect it. Directly from you via our website contact form, by phone, by email, in person, or through the cloud accounting and practice software we use to deliver our services (such as Xero or Capium).

How we use your data

  • To respond to your enquiry and provide the information or quote you've requested.
  • To prepare accounts, tax returns, payroll and other services you've engaged us for.
  • To meet our legal and regulatory obligations, including anti-money laundering checks, HMRC filing requirements, and record-keeping duties under our professional body.
  • To communicate with you about your account or ongoing work.
  • To send marketing communications, but only where you've given consent. You can opt out at any time.

Legal basis for processing

We rely on one or more of the following legal bases: performance of a contract with you (delivering the services you've engaged us for), compliance with a legal obligation (such as anti-money laundering regulations and HMRC requirements), our legitimate interests in operating and improving our business (such as responding to enquiries), and your consent (for optional marketing communications and for website analytics cookies).

Who we share your data with

We do not sell your personal data. We may share it with:

  • HMRC, Companies House and other regulatory or government bodies, where required to deliver your service or comply with the law.
  • Our cloud accounting and practice management software providers (such as Xero and Capium), who process data on our behalf under their own data protection agreements.
  • Our form provider, Web3Forms, solely to deliver contact form submissions to our email inbox.
  • Google, which provides Google Analytics, only if you accept analytics cookies (see below).
  • Our professional indemnity insurers and professional body, where necessary for compliance or in the event of a claim.
  • Any previous accountant, with your authorisation, when we request professional clearance to act for you.

Data retention

Client records are retained for at least six years from the end of the relevant tax or accounting period, in line with HMRC and statutory record-keeping requirements, and may be retained longer where our professional body or insurer requires it. Contact form enquiries that don't lead to an ongoing client relationship are kept only as long as reasonably needed to deal with your enquiry.

Cookies and analytics

With your permission, we use Google Analytics to understand how visitors use this website: which pages are visited and for how long, what kind of device and browser people use, their approximate location (country or city), and how they found us. This helps us improve the site. Google Analytics doesn't store IP addresses, and we don't use it to identify you or for advertising.

Google Analytics only runs if you click "Accept" on our cookie banner. It then sets two cookies, _ga and _ga_2LPVWTYMC3, which last up to two years and let it recognise repeat visits. Google acts as our service provider and may process this data outside the UK, including in the United States, with the safeguards UK data protection law requires. See how Google uses information from sites that use its services. We keep Analytics data for no longer than 14 months.

You can change your mind at any time using the "Cookie settings" link at the bottom of every page. If you reject analytics, no analytics cookies are set and nothing about your visit is sent to Google Analytics. We store your choice in your browser so we don't have to ask on every page.

The map on our Contact page is embedded from Google Maps, so when it loads, Google may set cookies or receive technical data such as your IP address, under Google's own privacy policy.

Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse, including access controls on our practice software and secure handling of client documents.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure of your data, where we're not required to keep it for legal or regulatory reasons.
  • Restrict or object to certain processing.
  • Request a copy of your data in a portable format.
  • Withdraw consent at any time, where processing is based on consent.

To exercise any of these rights, contact us at info@anatolianaccountancy.com. If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent changes.
